Finding Ways to Be More Time Efficient with Numerous Tenants

stop-watchYou have plenty of tenants in your commercial facility. It’s great to have few vacancies, even though you might have one or two. With all of these tenants, though, if you are responsible for the commercial floor surfaces in the entire facility, including the offices and other areas that are being used, that can make it challenging.

Scheduling could be difficult.

Some of your tenants may be regular office facilities. They might maintain basic hours, like 9-to-5. Others may be service oriented industries, manufacturers, or possibly even distributors. Those hours could vary significantly, from starting at the wee hours of the morning or running well after midnight.

A wide range of hours could make it extremely difficult for commercial floor maintenance crews to get everything done. It becomes necessary to focus on efficiency as well as continuing to do a quality job. While your tenants are locked into a lease, that doesn’t mean it’s okay to cut corners because that could have a direct influence on your reputation and future tenancies.

How to be as time efficient with these varying schedules.

The maintenance personnel should have a clear understanding about when each office area will be cleared out of employees and other individuals. Wherever there are groups of rooms or regions that can be cleaned together or one after another in sequential order, that should be done, even if the maintenance department or personnel is going to start those jobs a half hour or an hour later. It becomes more efficient to work in sections as opposed to dragging equipment back and forth around the facility.

Another thing that could be done is to sit down with each tenant to figure out what their schedule is in the event they have people working long after normal business hours. Explain the situation and they might be accommodating to having people vacuum the carpets, buff or polish or clean the floors, or do other basic work so long as there won’t be any customers in the area.

It may also be prudent to alter the schedule and do some rooms or areas one day of the week and others on a different day as opposed to trying to get everything done in one day.
